The Challenge

The client operated three legacy SharePoint 2013 farms and a shared file server totaling 10.4 TB of clinical SOPs, radiology attachments, HR files, credentialing records, and legal contracts. Regulatory and clinical demands ruled out any outage window longer than 15 minutes for critical clinical libraries.

The Solution

We designed a wave-based, zero-downtime migration on ShareGate + custom PowerShell orchestration, running nightly deltas against pre-provisioned Microsoft 365 tenants.

• Pre-migration content assessment using Microsoft Purview to auto-classify PHI and apply sensitivity labels before move
• Identity remediation — collapsed 3 AD forests into a single Azure AD tenant with Conditional Access baseline for clinical roles
• Workflow modernization — replaced 380 SPD workflows with 92 consolidated Power Automate flows and 4 Power Apps for clinical intake
• Hub-and-spoke IA — 12 hospital hub sites feeding a shared clinical governance hub
• Cutover strategy — read-only source, incremental delta, DNS flip during 2AM low-utilization window
